Position: Sr Administrative Asst
Work Location: Tigard, OR

Job Description:
Provides primarily secretarial and some administrative support for an assigned manager of the Company (Band N and some Band D) or group of employees.

Impact on the Business
Complete a variety of primarily secretarial and some administrative duties, often of a confidential nature and unique to assigned area, including researching information and data, maintaining department records and filing system and developing and producing reports and presentations.

Operational Effectiveness & Control:
  • Produce letters, reports, memoranda, forms, schedules, etc., utilizing various PC-based software packages or other typing equipment, composing items from general outlines or own initiative.
  • Open and screen mail and respond to correspondence and inquiries on behalf of manager; receive and screen telephone calls and visitors, taking appropriate action using initiative and judgement.
  • Schedule appointments and meetings and arrange travel accommodations. Should assist in event planning.

Management of Risk:
  • Ensure compliance, operational risk controls in accordance with HSBC or regulatory standards and policies; and optimize relations with regulators by addressing any issues.
  • Promote an environment that supports diversity and reflects the HSBC brand.

Observation of Internal Controls:
Maintains HSBC internal control standards, including timely implementation of internal and external audit points together with any issues raised by external regulators.

Qualifications:
  • Associate's degree in business, related field or equivalent experience.
  • Minimum of five years proven and progressive secretarial or administrative experience or equivalent.
  • Strong keyboard, customer service, problem-solving, and organizational skills.
  • Proficiency with personal computers as well as pertinent mainframe systems and common software packages.
  • Demonstrated ability to create and produce presentations and reports, as well as handle small scale projects independently.
  • Ability to resource services, complete necessary follow up, and provide timely and effective communication for problem resolution.
  • Ability to deal with all levels of personnel in a courteous and efficient manner and exercise discretion on confidential matters.
  • Knowledge of Company policies and practices.
