
Thales Requires Document Control Specialist for New York, NY

Position: Document Control Specialist
Work Location: New York, NY
Primary Job Responsibilities:
- Develop and maintain an incoming/outgoing document control system. for numbering and tracking all departmental Standard Operating Procedures;
- Administer adherence to critical response deadlines for correspondence exchanges between Thales and the New York City Transit Authority (NYCTA).
- Maintain the controls of all corporate documentation, including but not limited to submittals, RFIs, tracking logs, meeting minutes, drawings, technical papers, and correspondence in support of Program Field Office. Manage the periodic review of content by the document owners.
- Assemble source documents for various project and corporate reports.
- Track and expedite submittals from subcontractors & suppliers.
- Ensure accuracy on all production released documentation. Develop and maintain a system to ensure quality of released documents.
- Control processing of project related files and documents in the computer-based document control system.
- Process RFIs and construction submittals.
- Maintain efficient files and records
- Serve as the back up to the Administrative Assistant.
- Perform other office duties as assigned.
Essential Job Skills:
- Must be detail oriented, highly organized and able to multitask
- Must be able to routinely handle confidential and sensitive information
- Must exercise solid judgment, and perform as a team player when executing his/her duties
- Excellent interpersonal and communication skills.
- Advanced skills in MS Office including Outlook, Word, Excel, PowerPoint and Visio.
- Previous experience with Document Control software (e.g., Constructware, Primavera Expedition or Prolog) a plus
Education and Experience:
High school diploma required. Bachelors Degree preferred.
